1. Who we are and what this policy covers
Humaximus Inc., a Delaware corporation ("Humaximus" or "we"), builds and runs a platform that helps nonprofits and community organizations coordinate services for the people they serve. This policy explains what personal information we collect, how we use it, who receives it, how long we keep it, and the choices people have.
It covers:
- Our website, humaximus.com, and anyone who visits it.
- Anyone who emails, calls or texts us, and the text messages we send.
- The Humaximus platform, for the organizations that use it and the people who sign in to it for them ("organization users").
- Organizations that apply to join Humaximus, and the people who sign for them.
The Humaximus platform is not yet open to the people organizations serve, and it holds no information about them. Before it is, we will publish a new version of this policy that describes how the platform handles their information and the choices they have.
2. The information we collect
From website visitors and people who contact us
- Contact form: name, email, job title, organization and message.
- Booking a meeting with us: our scheduling company takes the person's name, email and chosen time.
- Reserving a spot: our payment company takes the payment. It passes us details such as the buyer's name, email and order, never a full card number.
- Email, calls and texts to us: the message, and for our phone line, the caller's phone number, the call log, voicemails and texts.
- Technical details: when a device connects to our website or the platform, our hosting companies receive its internet address and its browser and device type.
From organizations that apply to join, and the people who sign for them
The organization's answers to our joining questions, its legal name and tax ID number (EIN), and its signer's name, title, work email, work phone and statement that they may sign for it. To confirm a signer, we may also use a public filing or a confirmation from another leader of the organization. When an organization signs our agreement, we keep a record of the version signed and when it was signed.
Before an organization's account opens, its application is seen only by the person applying, its signer and Humaximus, and by our outside lawyer when an answer needs review.
From organization users
Name, job title, organization, work email and phone, role and access, sign-in details (when, the browser and device type, and the internet address), what the user does in the platform, and the messages they send and receive in it, with an entry for each call (who took part, when, how long, and a note a person types), never the call's sound. Other people using the platform see a user's name, job title and organization, so they know who they are working with.
We do not buy information about people.
3. How we use information
- to answer questions, hold meetings and take reservations;
- to review organizations that apply, confirm who signs for them, and open, run and bill their accounts;
- to sign organization users in and keep their accounts secure;
- to carry messages and calls inside the platform, and to send the texts and emails people agreed to or asked for;
- to tell organizations about Humaximus. Any organization or person can ask us to stop at any time;
- to keep Humaximus working and secure, fix problems and answer requests for help;
- to meet our legal duties.
What we never do
- We never sell personal information, and we never share it for advertising.
- We never share or sell mobile phone numbers or text-message opt-in data for marketing (section 5).
- No information in the Humaximus platform is used to train or improve any AI.
4. Who receives information
Companies that run parts of our business for us. Most act only on our instructions, under agreements that limit what they may do with the information. The payment, scheduling, font and map companies also handle what they receive under their own privacy policies. We list them by type:
| Type | What it does | What it handles |
|---|---|---|
| Hosting | Runs our website, its contact form and the Humaximus platform, including its messages and calls; stores the platform's records and backups; and sends the platform's emails and texts | What visitors and users send, and the platform's records |
| Company email and files | Our company email, support mailboxes and files | What is sent to us, and the files we keep |
| Company phone line | Our phone number, calls, voicemail and texts | The caller's phone number, the call log, voicemails and texts |
| Payments | Takes reservation payments | Payment details |
| Scheduling | Books meetings with us | The person's name, email and chosen time |
| Video meetings | Holds our meetings with organizations | What is said and shown in the meeting |
| Fonts and maps | Supply the typeface our website and platform use, and the map pictures on some platform pages | The device's internet address and browser type |
| Receives our postal mail | Letters sent to us |
When else we share information
Humaximus shares personal information only in the ways this policy describes: with the companies above; with other people using the platform, as sections 2 and 5 describe; in a sale or merger; and in these cases:
- Legal demands. When a court, a law enforcement agency or another government agency demands information we hold, we never hand it over on our own decision. Every demand goes to our lawyer, and to the organization whose information it is, if there is one. We tell the person or organization it is about before we answer, unless the law or a court order forbids it; then we tell them as soon as we are allowed. We hand over the least the demand requires, and we record it.
- Reports the law requires. If we have a concern the law requires us to report, such as the abuse or neglect of a child, an elderly person or a person with a disability, we report it as the law requires.
- Emergencies. If we believe in good faith that sharing is needed to prevent a serious and immediate threat to someone's life or safety, we share the least needed with those who can help, such as emergency services, and we record it.
- Our advisers. Our own lawyers, auditors, insurers and security testers, who must keep the information confidential.
- A sale or merger. If Humaximus is sold or merges, the information this policy covers moves with the business, under this policy.
Otherwise, Humaximus shares personal information only when a law requires it to.
5. Messages, texts, calls and email
Messages inside Humaximus
Organization users message each other inside the Humaximus platform, like direct messages. Once the platform opens to the people organizations serve, a person can also message the members of their care team there. Other users see a conversation only if they are in it or are added to it. A message inside Humaximus is never sent as a text. When someone has a new message, Humaximus may tell them by email or, for the people organizations serve and their helpers, by text; the notice only says something is waiting, with a link to sign in.
Text messages
We send texts in two ways. Each is registered with the mobile carriers, separately, before it sends any texts.
- From the Humaximus platform. Once the platform opens to the people organizations serve, it texts them, and the helpers they choose, only after they agree to receive texts from Humaximus or ask for a code. Its texts are sign-in codes, invitations for the people organizations serve to join the Humaximus app, and notices that something is waiting or that something in their account changed, with a link into the app. They come from Humaximus alone, from a number used only for texts. They never name an organization, and never say anything about anyone's needs, health or messages. Organization users never receive texts from the platform. A person who invites a helper by text sends that invitation from their own phone, not through Humaximus.
- From our company phone line. Our company phone line, (469) 909-7454, texts people and organizations who contacted us or agreed to receive texts from us, about what they asked about, such as a question, a meeting or their account.
- How often. Message frequency varies. Message and data rates may apply.
- Stopping and help. Reply STOP to stop at any time, or tell us, or an organization serving you, any other way. Reply HELP for help, or contact support@humaximus.com or (469) 909-7454.
- No sharing for marketing. We never share or sell mobile phone numbers or text-message opt-in data and consent with third parties or affiliates for their marketing or promotional purposes. Text-message opt-in data and consent are never shared with any third party, except the companies that carry our texts, which use that data only to deliver our texts.
Calls
We do not record calls, inside Humaximus or on our phone line. Our phone line's transcription and AI features are turned off.
Please don't send us health information
Please do not email, text or leave a voicemail for Humaximus with health information. If someone does, we ask them not to and delete the message the same business day.
6. Cookies and tracking
Our website sets no cookies and keeps nothing in the browser.
The Humaximus platform uses only its own cookies: to sign users in and keep them signed in, to hold a sign-in while the user enters their code, to remember the email last used to sign in, and to remember a computer the user chose to trust. None lasts longer than 30 days, and they are sent only to Humaximus. Anyone can delete them in their browser at any time; they then need to sign in again. The platform also keeps settings, and some of what a user does in it, in the browser on their device. That is not sent to us, and the user can clear it in their browser.
Fonts and maps. Our website and the platform load their typeface from a font company, and some platform pages load map pictures from map companies. The browser contacts those companies, which receive the device's internet address and browser type.
We do not track anyone across other websites, and our pages carry no advertising, analytics or tracking code from anyone else. Because we do no such tracking, we do not respond to "Do Not Track" browser signals.
7. How we protect information
- encryption whenever information travels over the internet;
- encryption of the platform's database and files when they are stored;
- a code from an authenticator app when organization users sign in;
- a record of every change in the platform, with who made it and when;
- backups, and monitoring for errors and suspicious access;
- access for Humaximus staff only when their work needs it.
No system can be made perfectly secure. If personal information we hold is accessed by someone not allowed to see it, we tell the people and organizations affected, as the law requires.
8. How long we keep information
| Information | How long |
|---|---|
| Messages sent through the website's contact form | Deleted from the form service the same business day. The copy in our email is kept as long as we need it to answer |
| Our phone line's voicemails and texts | Deleted the same business day once answered |
| Our phone line's call log | 12 months, deleted every three months, so an entry can be up to about 15 months old |
| Messages and call entries inside the platform | 7 years after they are sent |
| Logs of the texts the platform sends (the number, the time, and whether it arrived) | 13 months |
| An application to join that is not finished, or is told "not yet" or "no" | Deleted after 2 years with no activity, or sooner on request |
| An organization user's contact details, settings and sign-in, once removed | Deleted 90 days later. Their name and job title stay on their past work for as long as that work is kept |
| An organization's signed agreements | 6 years after the agreement ends |
| Technical logs (error reports, server and security logs, sign-in attempts) | 1 year |
| Backups of the platform | 35 days |
| Everything else, such as messages to us, bookings, orders, and organization users' accounts while they are active | As long as we need it to answer the person, run their account and meet our legal duties |
9. Your choices and rights
Anyone can write to privacy@humaximus.com to ask what we hold about them, or to correct or delete it. We delete what we can; section 8 says what we keep, and for how long. We may need to confirm who is asking before we answer. There is no charge. Organization users can also ask their organization's administrator about their account.
Anyone can ask us to stop sending them news about Humaximus, at any time, and can stop our texts by replying STOP.
Anyone not satisfied with our answer can write to privacy@humaximus.com, and our privacy lead reviews it. Anyone can also complain to the Texas Attorney General, at texasattorneygeneral.gov/consumer-protection/file-consumer-complaint.
10. Children
Humaximus is for adults. Our website and platform are not directed to children, and we do not knowingly collect information from anyone under 13. If we learn that we have, we delete it.
11. Changes to this policy
When we change this policy, we post the new version here with its date, and we keep each earlier version. If a change matters to how we use or share personal information, we tell people with accounts, in the platform or by email, before it takes effect. Before the Humaximus platform opens to the people organizations serve, we will publish a new version that describes how it handles their information.
